How to convert xla to xls file

Users need this conversion when an old Excel add-in must be opened as an editable workbook, inspected in older spreadsheet software, or shared with a system that accepts only .xls. Because an XLA is usually an add-in rather than a data workbook, conversion may produce no useful worksheet.

What the XLA format is

XLA is the legacy Microsoft Excel Add-In format associated with Excel 97–2003. It uses an Excel workbook container with its IsAddin property enabled, so Excel normally loads it as an extension instead of displaying its worksheets.

An XLA may contain VBA procedures, custom worksheet functions, hidden worksheets, named ranges, menus, toolbar or Ribbon customizations, and configuration data. It may also have been created from a normal workbook that contained tables or reports. Many add-ins contain only code and supporting data, so there may be no complete spreadsheet to recover.

Excel creates an XLA through File → Save As → Excel Add-In (*.xla). Older accounting, reporting, engineering, and office-automation packages commonly distribute this format. Modern Excel add-ins generally use .xlam, but current desktop Excel can still load many XLA files, subject to security and compatibility settings.

What the XLS format is

XLS is the binary Excel 97–2003 workbook format. Unlike an add-in, it is intended to open as a normal workbook containing visible worksheets, formulas, formatting, charts, named ranges, and, where supported, VBA.

XLS is appropriate when the receiving application supports only the older Excel format or the file must open in Excel 2003-era software. It has limits that do not apply to newer .xlsx workbooks, including 65,536 rows and 256 columns per worksheet. Newer Excel features may be removed or altered when saved as XLS.

How to convert an XLA with Excel

  1. Copy the XLA to a separate working folder and preserve the original. Treat it as executable macro content.
  2. Open the copy with a trusted desktop installation of Microsoft Excel. Do not enable macros or external links unless the file and its source are trusted.
  3. If Excel displays usable worksheets, choose File → Save As, select Excel 97-2003 Workbook (*.xls), specify a new name such as converted.xls, and save.
  4. If Excel loads the file as an invisible add-in, press Alt+F11 to open the Visual Basic Editor. Select the add-in's project, open the Immediate window with View → Immediate Window, and run ThisWorkbook.IsAddin = False. This works only when the VBA project is accessible and the file is allowed to run the required VBA code.
  5. Return to Excel and use File → Save As to select Excel 97-2003 Workbook (*.xls). Do not overwrite the XLA, because changing the add-in property changes how Excel treats the file.
  6. Close and reopen converted.xls. Check worksheets, formulas, named ranges, charts, external references, and macros. Use File → Info → Check for Issues → Check Compatibility before sending the result to an older Excel installation.

If the XLA does not open as a workbook, another option is to create a new XLS workbook and copy or export any worksheets that the add-in exposes. An add-in may provide its own export command or custom function; use that function when available instead of altering the file internally.

Quality and compatibility limitations

Changing IsAddin exposes the workbook container but does not convert VBA logic into worksheet data. An XLA containing only custom functions, event code, menus, or hidden support ranges may yield an XLS with no meaningful visible report.

VBA can remain in the XLS, but references to the original add-in path, ThisWorkbook, startup events, custom menus, Ribbon XML, protected sheets, and hidden worksheets may behave differently. Code that expects the file to be loaded as an add-in may stop working. The converted workbook is not automatically installed as an add-in for other workbooks; copy the required code into a trusted VBA project or keep the original add-in where that behavior is required.

A password-protected VBA project cannot be reliably inspected or modified. Digital signatures may become invalid after changing the file or saving it under another format. Excel may also remove unsupported features when writing XLS; review its compatibility report rather than accepting warnings without checking the affected content.

Online converter alternatives

CloudConvert and Zamzar are reputable general file-conversion services, but XLA support and the quality of any resulting XLS can vary; check the service's current input-format list before uploading. Online conversion is unsuitable for files containing confidential data or important macro code because the file must be uploaded and the service may discard VBA, hidden sheets, add-in metadata, or external references.

Use desktop Excel for XLA files with macros, protected content, or sensitive data. An online service is reasonable only for a non-sensitive add-in whose worksheets are the only required content, and the resulting XLS must be opened and checked in Excel afterward.

Simply put, it is impossible to convert XLA to XLS directly.
Thus, there is no so-called xla to xls converter or a free online .xla to .xls conversion tool.
