How to convert rpt to txt file

A program, import service, or archive may require a plain-text file instead of a Crystal Reports report. Converting the report output to .txt makes its displayed values easier to search, script, share, and store, but removes layout and interactive features.

What the RPT format is

.rpt is most commonly a report-definition or report-document format created by SAP Crystal Reports and applications that embed the Crystal Reports engine. A Crystal RPT file can contain database connections, queries, fields, formulas, parameters, grouping, formatting, charts, and print settings; it is not necessarily a text file and may also contain saved report data.

Crystal Reports, Crystal Reports Viewer, SAP BusinessObjects products, and business applications that generate Crystal reports commonly use RPT. Other unrelated programs also use the extension, so identify the application that created the file before choosing a conversion method.

What the TXT format is

.txt stores unformatted character data. Notepad, text editors, command-line tools, scripts, and data-import systems can read it without Crystal Reports or a database connection.

Plain text has no native support for fonts, charts, images, formulas, interactive parameters, database connections, or reliable page layout. Export settings may produce fixed-width columns, tab-separated values, comma-separated values, repeated headings, or page-break characters.

Exporting with SAP Crystal Reports

  1. Open the file in SAP Crystal Reports. If the report requests database credentials, provide them or select an available saved-data option.
  2. Refresh the report when the text must contain current database results. Without a refresh, the file may export data saved in the report rather than the latest records.
  3. Use File → Export → Export Report, or the equivalent export command in your Crystal Reports version.
  4. Select Text, Tab-separated text, Character-separated values, or the closest plain-text option offered by the export dialog.
  5. Choose the destination filename with a .txt extension. Select a delimiter for data import, or fixed-width/formatted text when visual column alignment is more important.
  6. Open the result in a text editor and check headings, group totals, dates, decimal values, negative numbers, page breaks, and multiline fields.

Crystal Reports editions and export drivers expose different format names and options. If a direct text export is unavailable, export to CSV or another structured format first, then create the required TXT file with a spreadsheet application, script, or text-processing tool.

Using Crystal Reports Viewer or a host application

Some Crystal Reports Viewer installations and business applications provide File → Export with a text or character-separated format. Select that format and save the output as report.txt. Export availability depends on the viewer version, report permissions, licensing, and the host application's configuration; a viewer may display a report without providing every export format.

When the file is already text

Some unrelated applications use .rpt for plain report output. Open a copy in a text editor or inspect it with a file-identification utility. If it already contains readable characters, use File → Save As and select UTF-8 with a .txt extension.

Do not simply rename a binary Crystal RPT file. Changing .rpt to .txt changes only the filename extension and does not decode or export the report.

Online converters and compatibility limits

Services such as Zamzar and Convertio can be checked when their current format lists explicitly show .rpt as an input and TXT as an output. Many generic converters do not support Crystal RPT, and an online service cannot reliably reproduce a report that depends on a private database, formulas, credentials, or application-specific rendering.

Do not upload reports containing confidential business data, personal information, embedded credentials, or regulated records. For Crystal files, the installed SAP Crystal Reports application or the original reporting system is the dependable choice because it can resolve the data source and apply the report's export settings.

Checking the exported file

Text export can repeat section and group headers, insert form-feed page breaks, omit hidden or suppressed fields, and preserve formulas only as their displayed results. It may also alter line wrapping and column alignment.

Use UTF-8 when the report contains accented characters or non-Latin scripts. Verify the delimiter, encoding, decimal separator, date format, quotation rules, and line endings before importing the file into another system; TXT carries none of that metadata by itself.

Frequently asked questions

Will my Crystal Reports formatting be preserved when converting RPT to TXT?

No, TXT keeps plain text rather than the RPT report layout. Fonts, colors, borders, images, charts, precise spacing, and page design are flattened or removed.

Are Crystal Reports formulas and report fields preserved in TXT?

Only their displayed text or calculated results are normally preserved; the report formulas, field definitions, grouping rules, and data-source connections are not editable in TXT. The values may also depend on whether the report can be refreshed before conversion.

Why are columns or tables misaligned after converting RPT to TXT?

Plain text has no reliable support for positioned report objects, so columns, wrapped values, and fields with different lengths can shift or overlap. This is especially likely when the RPT uses multiple columns, complex sections, or non-monospace fonts.

Will the converted TXT file be searchable?

Yes, readable report text is searchable in TXT, but images, charts, and text that cannot be extracted from the RPT will not become searchable. The result is a text export, not a report that can be opened and edited as a Crystal Reports document.
